Gravun vs HubSpot: What Service Businesses Actually Need from a CRM (2026)

Published September 19, 2026 · Gravun Team · Comparisons

TL;DR: HubSpot is one of the best marketing and sales platforms ever built. It was not built to run a service business, and it does not try to be. There is no native invoicing for field work, no job costing, no dispatch, no field service management.

The cost question is bigger than the sticker. HubSpot's free tier stops at two users and 1,000 contacts. Starter is listed at $20 per seat monthly. But workflow automation — the reason most people buy a CRM — starts at Sales Hub Professional, listed at $100 per seat per month plus a required $1,500 one-time onboarding fee. Five seats is $7,500 in year one, and you still need separate tools for the operational half.

Gravun Professional is $59 per seat — $2,950 a year for five seats on annual billing — with no onboarding fee, and it includes both halves. The real question is not which is better. It is whether you need a revenue CRM or an operations platform.

Two different products wearing the same label

"CRM" has become a word that covers two very different machines.

The first is a revenue CRM. It exists to attract strangers, convert them into leads, move those leads through a pipeline, and report on which marketing spend produced which closed deal. HubSpot is the archetype and arguably the best example of the category.

The second is an operations platform. It exists to run the business after the deal is won: schedule the work, dispatch the crew, track the cost of the job, raise the invoice, collect the money, chase the late payer, and keep the team coordinated. That machine shares the contact database with the first, but almost nothing else.

Service businesses need both machines. HubSpot builds one of them extremely well. The gap is not a criticism of HubSpot; it is a description of what it is for.

The real cost of HubSpot for five people

HubSpot's pricing is genuinely generous at the bottom and steep in the middle, and the jump between the two catches most buyers off guard.

TierPer seat / month5 seats / yearWhat you get
Free $0 $0 Capped at 2 users and 1,000 contacts. Genuinely useful for a very small team.
Starter $20 monthly / $7 annual $1,200 monthly billing Basic CRM and light automation. No serious workflow builder.
Sales Hub Professional $100 monthly / $90 annual $7,500 year one $6,000 in seats plus a required $1,500 one-time onboarding fee. This is where real workflow automation and reporting begin.
Sales Hub Enterprise $150 annual $9,000 + $3,500 onboarding Required onboarding fee rises to $3,500.
Gravun Professional $59 $3,540 monthly

The onboarding fee is the part people miss

A $1,500 mandatory one-time fee on Sales Hub Professional, and $3,500 on Enterprise, does not appear in the monthly comparison most buyers build in a spreadsheet. It is real, it is required, and it lands in month one.

It is also not unreasonable — HubSpot Professional is a genuinely complex product and guided onboarding has value. But it belongs in the comparison, and it rarely is.

Then add the tools HubSpot does not replace

A service business on HubSpot Professional still needs quoting and invoicing that understands jobs, scheduling and dispatch, job costing, and usually a separate texting or phone system. Whatever those cost, add them to the $7,500. That is the honest first-year number.

The operational gap

Here is what a service business does in a normal week that HubSpot does not natively cover:

  • Quote a job with a pricebook — parts, labour rates, markup, options the customer picks between.
  • Get it signed — e-signature with a signed copy and certificate.
  • Schedule and dispatch — assign a technician, sequence the route, handle the reschedule at 7am.
  • Cost the job — what did the truck roll, the parts and the hours actually consume, and did the job make money.
  • Invoice and collect — including recurring billing for maintenance plans and automated payment reminders.
  • Text the customer two ways — from the same record, inside quiet hours, with consent enforced.
  • Call through a list — a power dialer for renewals and seasonal campaigns.

HubSpot covers parts of the first and last through add-ons and integrations. The middle — the actual work — sits outside it. That is why most service businesses running HubSpot are also running two or three other subscriptions, with a sync between them that someone has to maintain and that occasionally drifts.

Where HubSpot is genuinely better

These are real advantages and they matter for some businesses more than everything else on this page.

  • Marketing automation depth. Marketing Hub Professional is more capable than anything in the field service category. Branching nurture sequences, lifecycle stages, progressive profiling, A/B testing across channels — if inbound content marketing is how you grow, this is a real edge.
  • Campaign attribution reporting. HubSpot can tell you which blog post produced which closed deal across a multi-touch journey. Few platforms do this well and HubSpot does it very well.
  • App marketplace. Over a thousand integrations. If you run an unusual stack, HubSpot probably already connects to it.
  • The free tier is real. Two users and 1,000 contacts at no cost is a genuinely good offer for a business just starting out, with no time limit attached.
  • Partner ecosystem. Thousands of certified agencies and consultants. You can hire expertise easily, and staff often arrive already knowing it.
  • Long sales cycles. If you sell commercial contracts with six-month cycles and eight stakeholders, HubSpot's sequences and deal management are built for exactly that shape.

If you are a commercial mechanical contractor with a marketing team and long enterprise sales cycles, HubSpot plus a field service tool may genuinely be the right architecture. Not every business should consolidate.

Where Gravun is better

  • Both halves in one place. CRM and pipeline on one side, quoting, scheduling, job costing, invoicing and collections on the other, sharing one customer record with no sync to maintain.
  • Communications included, not bolted on. Two-way SMS and email, two-way calling, a power dialer, AI call summaries, a unified inbox, review request automation and a website chat widget — all in the platform rather than as paid add-ons.
  • Predictable pricing. Per seat, no onboarding fee, no contact-tier escalation. HubSpot's marketing contact pricing can rise sharply as your database grows; Gravun's does not.
  • AI with a human in the loop. Workspace-aware AI that requires approval before it sends anything to a customer, redacts personally identifiable information before data reaches the AI provider, and shows you what it costs per use. HubSpot's AI add-ons have no equivalent approval gate.
  • Consent enforced in the database. Not a UI checkbox. For CASL, TCPA and any regulated SMS programme, that is an architectural difference rather than a policy one.
  • Team chat with job context. A channel per job that archives when the job closes, so the conversation stays attached to the work.
  • Setup in under a day against a Professional onboarding process measured in weeks.

Migrating from HubSpot

This is the part most people expect to be painful and it is the part that is not. Gravun connects to HubSpot with a sign-in and brings across contacts, companies, deals, notes, tasks, calls, meetings, owners, pipelines and custom properties — no CSV exports, no rebuilding your pipeline structure by hand.

A sensible sequence:

  1. Connect HubSpot and let the import run. Confirm record counts match on both sides.
  2. Run both systems in parallel for two weeks. New work goes into Gravun; HubSpot stays read-only.
  3. Rebuild your three highest-value automations rather than all of them. Most businesses discover half their HubSpot workflows were never firing.
  4. Export a full HubSpot backup before you cancel, and keep it.
  5. Cancel at the end of your committed term, not mid-term — annual HubSpot contracts generally do not refund.

How to decide

Stay on HubSpot if

  • Marketing attribution across a long multi-touch journey is central to how you make decisions.
  • You have a marketing team that will actually use Marketing Hub's depth.
  • Your sales cycle runs months with multiple stakeholders.
  • You already have a field service tool that works and an integration you trust.

Move to Gravun if

  • You are paying for HubSpot plus a field service tool plus a texting tool and want one subscription and one customer record.
  • The $1,500 onboarding fee and $100-per-seat Professional tier are hard to justify for a team of five to fifteen.
  • The operational half — scheduling, job costing, invoicing, collections — is where your week actually goes.
  • You want AI in the workflow but will not let it message a customer without a human approving first.
  • You are in Canada or another jurisdiction where consent rules need to hold up in an audit.

FAQ

Is HubSpot good for a service business like HVAC or plumbing?

HubSpot is strong at marketing, sales pipeline and reporting, but it has no native invoicing for field work, no job costing, no dispatch and no field service management. A service business running HubSpot typically pays for three or four additional tools to cover the operational half of the job. It suits companies with long sales cycles and marketing-led growth better than companies that send crews to addresses.

How much does HubSpot really cost?

HubSpot's free tier covers two users and 1,000 contacts. Starter is listed at $20 per seat per month on monthly billing, or $7 on annual. Sales Hub Professional, which is where workflow automation and meaningful reporting begin, is listed at $100 per seat per month on monthly billing plus a required one-time onboarding fee of $1,500. For five seats that is $7,500 in the first year before any additional tools.

Can I migrate from HubSpot to Gravun?

Yes. Gravun connects to HubSpot with a sign-in and brings across contacts, companies, deals, notes, tasks, calls, meetings, owners, pipelines and custom properties. You do not need to export CSVs or rebuild your pipeline structure by hand.

What does HubSpot do better than Gravun?

Marketing automation depth, campaign attribution reporting, and the size of its app marketplace and partner network. If your growth is content and inbound led, with long multi-touch sales cycles and a marketing team that needs sophisticated attribution, HubSpot's Marketing Hub is more capable than anything in this category.

Do I need both HubSpot and a field service tool?

If you stay on HubSpot, usually yes. HubSpot handles the lead-to-deal half and a separate system handles quoting, scheduling, job costing and invoicing, with an integration in between. That works, but it means two subscriptions, two sources of truth and a sync that can drift. Consolidating both halves into one platform is the main reason service businesses move.
